Subscription plans

Two plans for the Public Cloud

Both plans run on the same EU-hosted platform with the same feature set. What differs is capacity: users, properties, housing units, rooms and common spaces, and document storage. Portfolio management is always included.

Users are the one allowance with no overage rate. A workspace that needs more than the larger plan's user ceiling is a Private Cloud conversation, not an invoice line.

Portfolio management is the core and is never charged separately. The specialist areas are licensed individually, so a landlord who does not rebill utilities does not pay for a rebilling engine. Modules can be added or removed as the work changes.

Growth beyond the larger plan

What capacity costs once you outgrow the allowance

A portfolio that grows past the larger plan does not move to a quotation. Capacity beyond the included allowance is billed at published unit rates, added to the plan base and charged monthly.

Getting started

Onboarding, support and training

Setting up a portfolio system is a data exercise before it is a software exercise. The onboarding package exists so that the first cadastral record, the first contract and the first meter are entered correctly, with someone in the room.

Support, consulting and training

Support, consulting and training after onboarding are billed hourly on a best-effort basis. There is no retainer to buy and no ticket allowance to use up: you pay for the hours you actually ask for.

In every plan

What the subscription price already covers

These are platform capabilities, not modules. They apply on both plans and on Private Cloud alike, and they are never billed separately.

  • Multi-tenant isolation and Workspace ID login — every record belongs to an account and is scoped to it, and credentials are only ever valid inside their own workspace
  • Multiple legal entities per account — contracts, invoices and revenue split across the landlord companies that actually own them, without a second subscription
  • Roles and supervised user switching — admin, supervisor, read-only and support roles, with an audit trail recording who acted on whose behalf
  • Three interface languages — English, German and Romanian — useful when the accountant, the caretaker and the owner do not share one
  • Per-account SMTP and PDF branding — tenant email leaves from your own domain, and generated PDFs carry your logo, colours and font sizes
  • Document storage and audit comments — documents attach to any entity within your plan allowance, with comment threads for the note that explains why a figure looks the way it does

Larger deployments

When a shared plan is no longer the right shape

The Public Cloud plans stop at ten users. That ceiling is deliberate: past it, a portfolio usually also brings requirements the shared platform does not address — a dedicated database, backups held on your own premises, a signed response time, or your own brand on the login screen.

Private Cloud is a dedicated single-tenant deployment in a secure EU data centre. It adds dedicated resources including backup and failover infrastructure, database and storage backups mirrored to your own site or office, high availability and redundancy, 24/7 monitoring, and an SLA with a maximum four-hour intervention during working hours and 24 hours outside them. White labelling is available.

The optional modules are priced identically there. Sizing beyond the stated user and storage limits is discussed individually.

Billing questions

What people ask before they sign

What counts as a room or common space?

Every room and every common or outdoor space you choose to record. Rooms include living rooms, bathrooms, kitchens, storage rooms, gangways, lofts, basements and staircases. Common and outdoor spaces include courtyards, parking lots, land lots, buildings, gangways and staircases. You are not obliged to model a portfolio down to room level; if you record only units, your room count stays low and so does any overage.

What happens when I exceed a plan limit?

On the smaller plan you move to the larger one. Beyond the larger plan's allowance, additional capacity is billed at the published unit rates on this page and added to the plan base. Users are the exception: there is no per-user overage rate, so a workspace that needs more people moves to Private Cloud rather than accumulating charges.

Are the prices net of VAT?

Yes. Every figure on this page is net. VAT is applied on the invoice according to your country and your VAT status. The estimator shows net figures throughout, and says so under the total.

Can I add a module later?

Yes. The modules are independent add-ons and can be switched on or off as the work changes. Portfolio management is core and is included in the base price of every plan, so it is never a separate line on your invoice.

What is a Workspace ID, and does it affect the price?

It is your account's login identifier, and the first of the three things the sign-in form asks for. It isolates each customer's data, so two customers can use the same email domain without collision. It has no effect on price: the subscription is billed per workspace, whatever you call it.

How do I pay, and what is billed monthly?

Monthly per workspace: the plan base, plus any modules, plus any overage against the larger plan's allowance. The onboarding package is a one-off charge and support beyond it is billed by the hour as used. Write to us for billing arrangements and invoicing details.
