## Property accounting and invoicing integration

Invoices and rebilling invoices are generated from the same portfolio and metering data you already maintain, issued through your invoicing platform, and read back into your ledger. Nothing is typed twice.

## The figure that leaves the rebilling engine is the figure that lands in the ledger

Most utility rebilling ends the same way. A spreadsheet is exported. Someone reads the allocated amounts off one screen and types them into another. A month later, a tenant queries a line, and the only way to answer is to rebuild the calculation from memory.

Every one of those hand-offs is a place where a number changes. Not often, but often enough that reconciliation becomes a standing task rather than a check.

Here the chain is unbroken. A meter reading becomes a consumption figure. The allocation key turns it into a rebilling entry against a specific client and a specific unit. The rebilling entry becomes a rebilling invoice. The invoice is issued through your invoicing platform and returns with its external series, document date and reference stored against the record.

When the tenant queries the line, you open the invoice and walk back to the reading. Same figure, one derivation, one audit trail.

## Invoicing built on portfolio data, not re-entered from it

The finance module sits on top of the records you already keep. It does not ask you to restate them.

- **Preview before issue** — Rebilling invoices are previewed before anything is sent to the invoicing platform. You see the composition of every document, correct upstream if a figure looks wrong, and issue in batch once the period is right.
- **Numbering under your control** — Document type, numbering scheme prefix and suffix, document title, seller and client titles, and payment terms in days are configured per credential set, so issued documents match the numbering your accountant expects.
- **VAT on payment** — Accounts operating under VAT on payment — TVA la încasare in Romania — are flagged at credential level, and issued documents are marked accordingly rather than corrected afterwards by the bookkeeper.
- **Delivery and external reference** — Issued documents can be emailed to the client through the invoicing platform, with an optional BCC. The external series, document date and a direct link to the document are stored back on the record.

## From meter reading to booked document

Five stages, no manual transcription between any two of them.

1. **Reading captured** — A meter or sub-meter reading is entered, on its own or through a batch screen that walks a building meter by meter. Supplier meter readings and supplier invoices are recorded against the same period.
2. **Consumption allocated** — The allocation key does its work — per square metre, per person, per unit, per consumption share or a custom expression evaluated by the formula engine. Standing charges enter as unmetered consumption positions.
3. **Rebilling entries formed** — Allocated consumption is grouped into rebilling entries by utility type and rebilling mode, each tied to the client and space it belongs to, each still holding the derivation that produced its amount.
4. **Invoice previewed and issued** — Entries are assembled into rebilling invoices, reviewed in the dashboard, then issued in batch through the invoicing platform under the correct user's credentials and the correct legal entity.
5. **Ledger and analysis** — The issued document returns with its external series and date. The accounting connector reads booked revenue and expense positions per period and per building back into the reporting layer.

## The invoicing platform integration

Documents are created through the connected invoicing platform's API, not exported for someone to re-enter, and the platform remains the system of record for the issued document itself.

What the platform needs to produce a correct document is held per credential set: the document type, the numbering scheme prefix and suffix, the document and party titles, the payment term in days, and whether the account pays VAT on payment.

Some configurations require every client to carry an internal reference before a document can be issued against them. Where that applies, the system enforces it at validation time — you find out before the batch runs, not when the platform rejects the twentieth document.

After issue, each record keeps the external reference, the returned series and document date, a viewing link, and a communication log of what was exchanged with the platform and when.

## The ledger, over GraphQL, authenticated by certificate

The accounting side is served by a dedicated connector. It speaks GraphQL and authenticates with client SSL certificates, so the channel between your portfolio system and your accounting system is not a shared password in a settings field.

The connector reads booked figures back: revenue and expense positions for a chosen period, either across the whole account or narrowed to a single building. Those figures feed the revenue timelines and the investment and business analyses rather than sitting in a separate report nobody opens.

Calls are serialised and cached, which matters when a large portfolio asks for a year of positions across every building at once. The reporting screens stay usable and the accounting system is not hammered.

The integration layer is built to take further connectors. Today there are two — one for issuing, one for the ledger. Adding a third is connector work against an existing structure, not a rewrite of the finance module.

## The right document, from the right person, for the right company

A portfolio rarely sits inside one company, and invoices are rarely issued by one person. Both facts are modelled rather than worked around.

- **Per-user credentials** — credentials for external platforms are held per user and stored encrypted. A document issued by a colleague goes out under that colleague's platform account, with their numbering configuration, not under a shared login
- **Multiple legal entities** — an account can hold several account organisations. Contracts, and the invoices that follow from them, are split across the landlord companies that actually own them instead of being merged into one billing identity
- **Roles that match the work** — admin, supervisor and read-only roles apply to finance records as everywhere else. An external bookkeeper can be given read-only access to issued documents without gaining rights over contracts or meter data
- **A record of what was sent** — each issued document keeps its exchange log with the invoicing platform, its external reference and series, and any audit comments left on the record. Questions months later have an answer on file
- **A statement the tenant can read** — the per-client rebilling sheet is produced as a branded PDF showing how each figure was derived — readings, allocation key, share, period — in your own logo, colours and type sizes

### Which invoicing platform does the software integrate with?

One invoicing platform is integrated today; the integrations page describes it and the current list in full. Documents are created through its API with the document type, numbering scheme prefix and suffix, document and party titles, payment term in days and VAT-on-payment setting you configure. Issued documents return their external series, document date and a viewing link, which are stored on the invoice record inside the portfolio system.

### How does the accounting integration avoid re-keying figures?

Invoices and rebilling invoices are generated from the same records that produced the amounts — contracts, price entries, rebilling entries and unmetered consumption positions. Nothing is exported to a spreadsheet and typed back in. Documents are issued directly through the invoicing platform, and the accounting connector reads booked revenue and expense positions back for reporting.

### Does it support VAT on payment (TVA la încasare)?

Yes. VAT on payment is set on the credentials used to issue documents, so every document issued under that configuration is marked accordingly at the point of issue rather than corrected afterwards. This matters for Romanian accounts operating under the regime, where the cash-accounting VAT treatment must appear on the document itself.

### Can invoices be issued for several landlord companies from one account?

Yes. An account can hold multiple legal entities — account organisations — and contracts are attached to the company that actually owns them. Invoices follow that attachment. Combined with per-user credentials for the invoicing platform, a document goes out under the correct company and the correct person's platform account.

### What if we use a different accounting system?

Today there are two connectors: one invoicing platform for issuing documents and one accounting system for the ledger. The integration layer was built to take further connectors, so adding one is work against an existing structure rather than a rewrite.
