## Private Cloud: your own instance, in an EU data centre

The same back office for real estate portfolios, running on dedicated resources instead of shared ones — with high availability, 24/7 monitoring, a response-time SLA, and your own brand on the interface and the PDFs.

- Single-tenant deployment on dedicated resources in a secure EU data centre
- Database and storage backups mirrored to your own site or office
- SLA: maximum 4 hours intervention during working hours, 24 hours outside them
- Every functional module included, with unlimited data transfer, on one monthly subscription

## Infrastructure that is not shared with anyone else

Public Cloud is a shared, EU-hosted service and it is the right answer for most portfolios. Private Cloud exists for the cases where sharing is the problem — because of procurement rules, governance, scale, or a requirement to hold the data yourself.

- **Dedicated resources** — Your deployment runs on resources reserved for your organisation alone, including its own backup and failover infrastructure. Nothing is contended with other customers, and capacity is sized to your portfolio rather than to an average.
- **High availability and redundancy** — The environment is built with redundancy across its components so that a single failure does not take the back office down in the middle of a rebilling run or a contract deadline.
- **Backups mirrored to your site** — Database and document storage backups are mirrored to your own site or office. If the relationship ever ends, or an auditor asks where the data physically is, you already hold a copy in your own building. [What this module does](https://real-estate-management.webservices-engineering.de/security)
- **24/7 monitoring** — The instance is monitored around the clock. Monitoring is what makes the SLA meaningful: problems are picked up by us rather than reported to us by a colleague reading meters on a Saturday.
- **Scalability** — Resources scale with the portfolio. The plan covers a user count and a document storage allowance sized for a whole organisation, plus unlimited data transfer, with room to grow the environment rather than the invoice line by line.
- **Customisable access controls** — Access control and user management can be adapted to your organisation, on top of the standard admin, supervisor, read-only and support roles that every deployment ships with.

## Public Cloud and Private Cloud compared

Both run the same application and the same modules. The difference is who the infrastructure belongs to, how it is operated, and what is contractually promised.

| | Public Cloud | Private Cloud |
| --- | --- | --- |
| Tenancy | Shared, multi-tenant service with strict per-account data scoping | Dedicated single-tenant deployment for your organisation only |
| Hosting | EU-hosted SaaS | Dedicated resources in a secure EU data centre |
| Users | The Standard or Extended plan allowance | Sized for a whole organisation, well beyond the largest plan |
| Document storage | The plan allowance, then a published rate per additional GB | A portfolio-scale allowance included |
| Data transfer | Included with the plan | Unlimited |
| Modules | Portfolio management included; the others are optional modules priced per month | All functional modules included |
| Portfolio limits | Published property, housing unit and room allowances per plan, with per-unit overage beyond them | Sized to the deployment |
| Access control | Admin, supervisor, read-only and support roles | The same roles, plus customisable access controls and user management |
| Branding | Per-account logo, colour scheme and font sizes on generated PDFs | Full white labelling: logos, colour schemes, fonts and corporate identity elements |
| Backup and recovery | Regular backups | Dedicated backup and failover infrastructure, regular backups, disaster recovery, and backups mirrored to your own site |
| Availability | Shared platform infrastructure | High availability and redundancy, 24/7 monitoring |
| Response commitment | Support, consulting and training at the published hourly rate, best-effort | SLA: max 4h intervention during working hours, 24h outside working hours |
| Price | From the published monthly plan price | One monthly subscription, published on the pricing page |

> All prices exclude VAT. The onboarding package and the hourly support rates are listed in full on the pricing page.

## One monthly subscription, no per-unit overage

Private Cloud is a single monthly figure, net of VAT, with no per-property, per-unit or per-GB overage on top of it. That figure, the Public Cloud plans it should be weighed against, the one-off onboarding package and the hourly rate for consulting and training are all published in the same place.

## Who a Private Cloud deployment is for

It is a deliberate step up in cost, so it should answer a requirement you can name. These are the requirements it usually answers.

- **Organisations that must say where the data is** — Housing associations, owners' associations and public-adjacent bodies whose governance or procurement rules require a named data centre, dedicated resources and a copy of the data under their own control. [What this module does](https://real-estate-management.webservices-engineering.de/use-cases/housing-associations)
- **Managers who present the system to their own clients** — Property management companies that give owners and landlords access to the back office and need it to carry their own corporate identity rather than ours, down to the fonts on the rebilling sheet. [What this module does](https://real-estate-management.webservices-engineering.de/use-cases/property-management-companies)
- **Teams beyond the Extended plan** — Portfolios that have outgrown the Extended plan's user, document storage and unit allowances, where per-unit overage on properties, housing units and rooms stops being the sensible way to pay.
- **Operations with a hard deadline calendar** — Anyone whose year has fixed dates — ancillary cost statements, service charge reconciliation, contract renewal notices — and who needs a contractual intervention time rather than best-effort support.
- **Utility billing providers** — Businesses that rebill utilities on behalf of third parties, where meter data, allocation keys and issued invoices belong to clients who ask their own questions about isolation and retention. [What this module does](https://real-estate-management.webservices-engineering.de/solutions/utility-rebilling)
- **Long-horizon record keepers** — Family holdings and long-term owners who keep cadastral records, contracts and invoices for decades and want the archive mirrored into their own premises, not only into a provider's backup.

## Your corporate identity, not ours

Every account can already brand its generated documents: logo, colour scheme and font sizes are applied to PDFs such as the per-client rebilling sheet, so a tenant receiving a statement sees the landlord, not the software.

Private Cloud extends that to the deployment itself. Logos, colour schemes, fonts and corporate identity elements can be applied across the interface, so the system your staff and your clients open every morning looks like part of your organisation.

This matters most when you are the back office for someone else. A managing agent handing a login to an owner, or a billing provider handing a rebilling sheet to a tenant, is presenting their own service — the software should not interrupt that.

- [How the rebilling sheet is produced](https://real-estate-management.webservices-engineering.de/solutions/utility-rebilling)

## Every module is included

On Public Cloud, portfolio management is the core and the rest are optional modules priced per month. On Private Cloud there is nothing to select: the full functional surface is part of the deployment.

That means portfolio management from the cadastral parcel down to individual rooms and common spaces; rental contracts, bailment agreements and early termination contracts with their pricing and notification deadlines; the full utility metering and rebilling pipeline with sub-meters, supplier invoices, allocation formulas and per-client rebilling sheets; the technical asset register; the invoicing and accounting integrations; and the revenue, consumption and investment analyses.

Platform capabilities come with it: multiple legal entities per account, per-account SMTP so tenant email leaves from your own domain, an interface in English, German and Romanian, and background processing and caching for large portfolios.

## How a Private Cloud deployment is set up

The sequence below is the normal path. Nothing here is automated self-service — a dedicated environment is provisioned deliberately, and we would rather talk to you first.

1. **Scoping conversation** — We look at portfolio size, user count, document volume, which legal entities exist, and any data residency or procurement constraints you have to satisfy. If Public Cloud is the honest answer, we will say so.
2. **Environment provisioning** — The dedicated environment is provisioned in the EU data centre, with its backup and failover infrastructure, redundancy and monitoring in place before any of your data is loaded into it.
3. **Branding and configuration** — White labelling is applied, legal entities and area units are set up, per-account SMTP is connected to your mail domain, interface languages are chosen, and roles and access controls are shaped to your organisation.
4. **Data setup and training** — The onboarding package covers account setup, four hours of on-site staff training including travel, plus up to five phone consultations and ten email exchanges within the first six weeks.
5. **Mirroring and handover** — Database and storage backups are mirrored to your site or office, and the operating rhythm starts: 24/7 monitoring on our side, an agreed SLA for intervention, and a named contact address for everything else.

- [Start the scoping conversation](https://real-estate-management.webservices-engineering.de/contact)

## Onboarding and hourly work

Onboarding is the same package on both deployments, and it is a one-off. Work that falls outside the SLA — consulting, training, change requests — is billed by the hour at the published rate.

- **Onboarding package** (One-off, €400) — Account setup, four hours of on-site staff training including travel, plus up to five phone consultations and ten email exchanges in the first six weeks.
- **Support, consulting and training** (€75/hour) — Consulting, training and change requests beyond the SLA. On Private Cloud the SLA covers incident response; this covers everything you ask us to change.

All prices are net and exclude VAT.

## What the subscription covers

One monthly figure, with no per-property or per-unit overage on top.

- **The monthly subscription** — The Private Cloud subscription, excluding VAT. Onboarding and any further consulting, training or support beyond the SLA are quoted separately, at the rates on the pricing page.
- **Users for the whole organisation** — Enough for a management company with field staff reading meters, back-office accounting, and read-only accounts handed to owners or auditors who should look but not edit.
- **Portfolio-scale document storage** — Document and asset storage for contracts, supplier invoices, meter photographs, cadastral extracts and technical asset documentation across the whole portfolio.
- **A 4h / 24h response commitment** — Maximum four hours to intervention during working hours, maximum twenty-four hours outside them, backed by round-the-clock monitoring of the dedicated environment.

## Asked before every Private Cloud decision

### What is included in the Private Cloud plan?

A dedicated single-tenant deployment in a secure EU data centre with dedicated resources, backup and failover infrastructure, high availability and redundancy, 24/7 monitoring, an SLA, and white labelling. All functional modules are included, along with a user count and document storage sized for a whole organisation and unlimited data transfer. It is one monthly subscription, excluding VAT, published on the pricing page.

### Where is the data stored?

In a secure data centre inside the European Union, on resources dedicated to your deployment. In addition, database and document storage backups are mirrored to your own site or office, so a copy of the record — portfolio, contracts, meter readings, invoices and documents — exists on premises you control. Details of storage and processing are set out in the data processing agreement.

### What does the SLA cover?

The Private Cloud SLA commits to a maximum intervention time of four hours during working hours and twenty-four hours outside working hours. The dedicated environment is monitored 24/7, so incidents are normally detected before they are reported. Consulting, training and change requests outside the SLA are billed at the hourly rate shown on the pricing page.

### Can the system carry our own branding?

Yes. Every account can apply its logo, colour scheme and font sizes to generated PDFs such as the per-client rebilling sheet. Private Cloud adds white labelling across the deployment itself: logos, colour schemes, fonts and corporate identity elements, so owners and tenants see your organisation rather than ours.

### How does Private Cloud differ from the Public Cloud subscription?

Public Cloud is the shared, EU-hosted service, with a base plan, optional modules priced per month, and per-unit overage beyond the Extended plan. Private Cloud is a dedicated instance: single-tenant infrastructure, all modules included, higher limits, white labelling, mirrored backups and a contractual SLA. Both are priced on the pricing page.

### Can we move from Public Cloud to Private Cloud later?

Both run the same application, so the functional surface and the data model are identical. Moving is a scoped piece of work rather than a switch in an account settings screen: contact us and we will plan the provisioning, configuration and cutover, and quote any onboarding or consulting time at the published rates.

## Tell us what your infrastructure requirement actually is

If the constraint is data residency, governance, brand, scale or response time, say which one — it determines whether Private Cloud is the right answer or an expensive one. We will give you a straight assessment either way.
