## A portfolio record that goes down to the room

Most systems stop at the unit. This one keeps going: property group, property, housing unit, then the rooms and common spaces themselves — kitchen, bath room, storage room, gangway, loft, basement, staircase, courtyard, parking lot, land lot.

Areas roll up from rooms to units to properties to groups, so a square-metre allocation key is derived from the record rather than from a spreadsheet somebody maintains by hand.

Land registry, cadastral and topographical details sit on the entity they describe. Housing units are typed — flat, business space, storage space — which is what makes mixed-use portfolios behave sensibly downstream.

## Contracts, clients and the dates that matter

Rental contracts, bailment agreements for gratuitous use and early termination contracts are separate document types because they behave differently, not because the form looks different.

Price entries are normalised across interval units and counts, so a monthly rent, a quarterly charge and an annual fee can be compared and charted without conversion arithmetic in a side file.

Reminders go out before contract end and renewal deadlines, with an audit trail of what was sent and to whom. An account can hold several legal entities, so contracts stay attached to the landlord company that owns them.

## How a month actually runs

Each step leaves a record the next step reads, so nothing is re-keyed and every figure keeps its origin.

1. **Take the readings** — Walk the building with the batch reading screen and enter meters and sub-meters in sequence. Readings land on their consumption site, timestamped and kept as a history.
2. **Record the supplier invoice** — Enter the supplier invoice and the supplier meter readings behind it. One document covering several utilities or periods is recorded as a compound supplier invoice.
3. **Allocate the cost** — Rebilling entries group consumption by utility type and rebilling mode, then apply the allocation key: per square metre, per person, per unit, per consumption share, or a custom formula.
4. **Preview before anyone sees it** — The rebilling dashboard shows every entry with its inputs, and the invoice preview shows what each client would receive. Corrections happen here, not after the document has left.
5. **Issue in a batch** — Approved entries become rebilling invoices and are issued together. Each client can also receive a branded PDF rebilling sheet showing how every figure was derived.
6. **Post to accounting** — Documents go out through the invoicing platform integration and into the accounting connector, under the credentials of the person who is supposed to have issued them.

## What the rebilling engine handles

Cost reallocation is where portfolio administration usually collapses into spreadsheets. This is the part of the product with the most detail in it.

- **Suppliers, supply contracts, price schedules** — utility prices over time, so a tariff change mid-period is a data point rather than a manual recalculation
- **Meters, sub-meters, consumption sites** — sub-metered consumption is deducted from the main meter instead of being charged twice
- **Compound supplier invoices** — a supplier document covering several utilities or periods is recorded as it arrived, then decomposed inside the system
- **Unmetered consumption positions** — standing charges and flat components are first-class positions, so a statement reconciles to the supplier invoice rather than nearly reconciling
- **Configurable allocation formulas** — when a building has an agreement that standard keys cannot express, you write the expression instead of leaving the system
- **Per-client rebilling sheet** — a branded PDF showing total cost, allocation key, share and resulting amount — it answers the tenant's question before the tenant asks it

## Invoicing and accounting, connected

The system generates the documents and hands them to the platforms responsible for them.

- **Invoicing platform connector** (Live) — Invoices and rebilling invoices are issued through the connected invoicing platform, including document types, numbering scheme prefixes and suffixes, and VAT on payment.
- **Accounting connector** (Live) — Accounting data moves over GraphQL, authenticated with client SSL certificates rather than a shared password pasted into a settings field.
- **Per-user platform credentials** — External credentials are held per user, so each document is issued under the account of the person entitled to issue it and the audit trail stays truthful.
- **Built to take more connectors** (On request) — The integration layer keeps invoicing apps and accounting connectors separate from the domain, so further platforms are added as connectors, not as a second product.

## Technical assets and portfolio analysis

The facility management module is the newest area and is expanding. Reporting sits across everything else.

Portfolio management is the base plan. Modules are flat-rated per month, and growth beyond Extended is metered by what you actually hold.

## Asked before every evaluation

### What is real estate management software?

It is back-office software for administering property you own or manage, rather than marketing it. It holds the portfolio record — parcels, properties, units, rooms and areas — with tenants and contracts, meter readings and utility cost reallocation, and the invoices that follow. A listings portal finds occupants; this system administers them once they are in the building.

### Can it produce an ancillary cost statement and allocate heating costs?

Yes. Supplier invoices, supplier meter readings, tenant meters and sub-meters and unmetered standing charges feed rebilling entries, which are split by an allocation key: per square metre, per person, per unit, per consumption share, or a custom formula. Each client can receive a branded PDF rebilling sheet showing how every figure was derived.

### Why does signing in need a Workspace ID?

Signing in takes three things: a Workspace ID, an email address and a password. The Workspace ID identifies your account and isolates its data. Two customers can use the same email domain without collision, and a user's credentials are only ever valid inside their own workspace, never across the platform.

### Do I have to buy the whole system?

No. Portfolio management is the base plan. Rentals & Contracts, Utility Billing / Cost Reallocation, Accounting & Invoicing Integration, and Investment & Business Analyses are optional modules you add when you need them. All prices exclude VAT.

### Which integrations exist today?

Two. Invoices and rebilling invoices are issued through the connected invoicing platform, with document types, numbering prefixes and suffixes and VAT on payment supported.
